A dynamic, manufacturing company is seeking a talented Executive Assistant to support one of their Executives. The successful candidate will be able to thrive in a fast-paced, high-growth environment, and have exceptional multi-tasking skills to manage competing priorities. This person must have superior organizational and analytical skills. This role is 5 days on site.
RESPONSIBILITIES:
- Manage the Executive’s calendar, meetings, schedule, travel arrangements, expense reports, and other administrative daily duties.
- Assist with managing the office budget, track and update spending.
- Work closely and effectively with leadership team to keep them well informed of upcoming commitments and responsibilities, following up appropriately.
- Be a key resource in preparing for board meetings, business development meetings, as well as financings.
- Provide support around developing clear and effective presentations.
- Independently perform special projects that require discretion, practical judgement, cost/benefits analysis, technical know-how, and an extremely high sense of detail.
- Solicit information from the executive team, provide critical updates, anticipate questions and organize priorities. Must be proactive in all areas of work.
- Apply a thorough knowledge of company operations and policies and procedures on a daily basis.
- Provide back-up administrative support and respond to a wide variety of requests from multiple sources.
QUALIFICATIONS:
- At least 5 plus years office management experience in a fast-paced, dynamic environment.
- Experience supporting an executive.
- Demonstrated flexibility and professional maturity to readily understand priorities and anticipate needs.
- Ability to manage conflicting priorities and deliver on the most critical assignments on time and within budget.
- Must have a positive “can do” attitude, be a consummate team player, and show excellent judgment as well as work well independently.
- Must be highly proficient in Microsoft Office including Word, Outlook, Excel, PowerPoint along with experience setting up systems and databases.
- Must have excellent written and verbal communication skills.
- High attention to detail and ability to effectively multi-task.
- Ability and willingness to perform a wide range of tasks including working with confidential information.
