A successful investment management firm is seeking a creative, resourceful, dynamic and proactive Executive Assistant to support two of their VP’s. The EA will be an integral contributor to the team, acting as the organizational and communication hub for the VP’s and working collaboratively with other departments as well. These responsibilities will include project coordination support for various HR programs, projects, events and activities.
RESPONSIBILITIES:
- Provide executive support to two VP’s to include calendar management, travel and expenses, preparing necessary materials, etc.
- Collect, assemble, and summarize information from various sources, prepare reports, graphics and agendas. Determine methods of research and presentation of information.
- Assist with material development (develop PowerPoint slides, research topics, edit and proof material, test solutions, etc.).
- Monitor email of the two VP’s to assist with mail management and flag action items in need of immediate response.
- Follow-up on administrative details with others to ensure requests for information are submitted on time.
- Modify, develop and document administrative procedures to ensure on-going efficient processes in place.
- Exercises creativity, initiative and an understanding of the leader’s and departmental
objectives. - Provide program management, administrative and logistical support for company-wide programs and events (e.g., Awards for Excellence, global leadership conference, leadership development programs, global engagement survey, team off-sites, and site activities).
- Independently performs special projects that require a combined knowledge of administrative
needs and technical operations. Selects appropriate resources and analyzes data as
required. - Maintain corporate organization charts, leadership distribution lists, and organizational announcement process.
- Organize materials and logistics for meetings, workshops or training sessions (editing, copying, distributing materials, booking training rooms, times, etc.).
REQUIREMENTS:
- At least 4 years executive administrative experience required, preferably within financial services.
- Excellent analytical skills with ability to think critically to anticipate needs and resolve issues.
- Ability to work effectively with technology.
- Experience working with all levels of management and consulting with key business
stakeholders. An ability to influence for greater outcomes. - Top-notch organization skills with strong attention to detail.
- Excellent verbal and written communication skills.
- Strong computer skills, in particular Microsoft Outlook, Word, Excel and PowerPoint.
COMPENSATION:
- $110k
